Meeting Requests

The deadline to submit a meeting request is August 2, 2019.


Please use the Meeting Request Form  for meeting or reception space during the SAF National Convention. Requests are due August 2 to Cindy Sherwood, Delaney Meeting and Event Management via fax at 802 865-8066 or email at [email protected].

All space is limited; requests will be handled in the order they are received. If other meetings that must be avoided are identified, please indicate at least one alternative meeting date. Conflicts cannot be avoided for requests after August 3. A preliminary schedule-at-a-glance and program information is available here. Updates will be made on an ongoing basis.

Please do not contact the hotel or convention center directly as SAF secured space for related meetings and receptions.

Please also note that all related meeting participants must register for the Convention. Please inform all meeting / function members of this policy.

Meeting Rooms/Receptions

We will be placing most meetings in permanently set rooms, to minimize hasty and disruptive turnovers, so most meetings will be somewhat overset. Every effort will be made to accommodate all meeting setups as requested, but priority will be given to meetings requested by the deadline.

SAF secured specific reception space for Thursday night (October 31) at the Louisville Marriott Downtown and the Hyatt Regency Louisville. Receptions not being held on October 31 may be scheduled in either hotel or convention center depending on space.

Catering/Audio-Visual Needs

SAF is not responsible and will not cover A/V or food costs incurred by ANY related meeting space or reception.

Along with space confirmation, information regarding food and beverage; AV; and set-up will be included. Food and beverage are to be coordinated directly with the hotel or convention center. AV may be coordinated through SAF's designated AV company or in-house providers.  Please wait for confirmation prior to contacting facilities or companies about AV and catering needs.

Room Assignments

Specific room assignments, for related meetings and receptions, will not be assigned or published until closer to the event date. Location information will be listed in the onsite program and through the convention phone app.
